Privacy Policy
The short version
- We collect only what we need to run your membership: your Whop user ID and username, your plan, what you choose to put on your desk and profile, and the security records needed to keep the site safe.
- We do not receive your email address or card details from Whop, and we never see your brokerage or prop-firm passwords.
- There are no ads, no analytics trackers, no tracking pixels and no third-party scripts or fonts on this website.
- We do not sell or rent your information, or share it for advertising.
- You can ask us to show, correct or delete your information at support@breakoutroomtrading.com.
1. Who is responsible for your information
OJ Executive Management LLC, doing business as The Breakout Room ("we," "us"), runs the Runway website at breakoutroomtrading.com and the Service described in our Terms of Service. We decide how your information is used. Contact us at support@breakoutroomtrading.com.
2. What we collect
| Information | Where it comes from | Why we use it |
|---|---|---|
| Whop user ID and Whop username | Whop, when you choose "Sign in with Whop" | To sign you in and recognise you |
| Membership details: membership ID, plan, status (for example active or cancelled) and Whop's billing-management link | Whop, when you buy, renew or cancel | To give you the features your plan includes and a link to manage billing |
| Your agreement to our Terms: the version and the date and time you agreed | You, on the sign-in page | To keep a record of what you agreed to |
| Profile you choose to fill in: display name, short bio, experience level, trading platforms, prop firms, and whether to join the leaderboard or show your Discord name | You (all optional) | Your display name is used on the leaderboard if you opt in. The other profile details are shown only to you |
| Discord user ID and Discord username, only if you link Discord | Discord, when you choose to link it | To match you to your Discord roles and show your Discord name if you allow it |
| Prop desk data you enter or import: account names, firm and account type, balances, payouts, fees, and trade fills from files you import | You | To run your prop desk, odds, coach and, if you opt in, the leaderboard |
| Desk change log: what was changed on your desk and when | Created as you use the desk | To show you a history of changes and keep your records accurate |
| Security and technical data: your IP address and browser details when you connect, a sign-in cookie, and the dates you first signed in and were last active | Your browser | To keep you signed in, limit repeated sign-in attempts and protect the site from abuse |
| Autopilot applications only: the email you give us for the licence agreement, the time you consented to identity verification, Stripe's verification session ID and result (for example verified or needs another try), and the dates you were verified and signed the agreement | You and Stripe | To confirm who is buying Autopilot, protect our software and send you the licence agreement |
| Messages you send us | You | To answer you and keep a record of support requests |
What we do not collect: your email address from Whop (we do not ask Whop for it), payment card numbers or bank details (Whop handles payment), your brokerage, prop-firm, TradingView or PickMyTrade passwords, your precise location, or any government ID. Your IP address is held in our server's memory for a few minutes at most, to limit repeated attempts, and is not saved in our database. Our hosting providers may keep short-lived connection logs, described in Section 5.
When you import fills, the file is read in your own browser first, and only the trade fields the desk needs are sent to us.
3. Why we use it (legal bases)
We use your information only for the purposes in the table above: to provide the Service you signed up for, to keep it secure, to answer you, and to meet legal duties such as tax and accounting records. We do not use it for advertising, we do not build marketing profiles, and we do not make automated decisions that have legal or similarly significant effects on you.
If you are in the European Economic Area, the United Kingdom or Switzerland, our legal bases are: performing our contract with you (sign-in, membership, desk), our legitimate interests in keeping the Service secure and preventing abuse, your consent (linking Discord, joining the leaderboard, showing your Discord name), which you can withdraw at any time, and legal obligations.
4. What other members can see
Nothing on your desk or profile is visible to other members unless you choose. If you join the leaderboard, members see your display name and totals calculated from the days you imported from NinjaTrader, such as your net result and number of green days (hand-typed numbers are not counted). They never see your account names, firms, sizes, bio or other profile details. If you also turn on "Show my Discord name," members see your Discord username next to your name on the leaderboard. You can turn either off at any time in your profile.
5. Who we share it with
We do not sell or rent your personal information, and we do not share it for cross-context behavioural advertising. We share it only with:
- Whop, our payment provider and sign-in provider. Whop processes your payment and membership under its own privacy policy.
- Render, which hosts the website and its database in the United States, and the network that Render uses to deliver the site (Cloudflare). They process data only to provide hosting and security for us.
- Stripe, only if you apply for Autopilot. Stripe Identity checks your government ID and a live selfie on Stripe's own pages and keeps those images and details under its own privacy policy. We receive only the result, never your ID images or ID number. See Section 14.
- Discord, only if you link your account, to confirm who you are. Our alert posts in Discord contain no personal information about members.
- TradingView, which receives your TradingView username when you claim The Breakout Room Indicator through Whop, so we can grant invite-only access.
- Professional advisers (such as lawyers and accountants) under confidentiality, when needed.
- Authorities, when the law requires it, or to protect our rights, our members or the public.
- A buyer or successor of our business, who must keep using your information as this policy describes.
If you use Autopilot, you give your account details to PickMyTrade and your prop firm directly, under their own terms. We do not receive your logins from them.
6. How long we keep it
- Your account, profile and desk data: while you have a membership, and for 12 months after your last membership ends so you can come back to your records. After that we delete it, or sooner if you ask.
- Membership and terms-acceptance records: for the length of your membership plus 6 years, because they may be needed for tax, accounting or legal claims.
- Support emails: up to 3 years.
- Hosting connection logs: kept by our hosting providers for their short standard periods.
7. How we protect it
The site uses encrypted connections (HTTPS) everywhere. Sign-in cookies are secure and cannot be read by page scripts. On the website, each member's desk can be opened only by that member, and only our team can access the database, for support and maintenance. Payment and membership messages from Whop must carry Whop's signature, and repeated sign-in attempts are limited. We do not store passwords for members, because you sign in through Whop. No system is completely secure. If a breach affects your personal information, we will notify you and the authorities as the law requires, including New York's SHIELD Act.
8. Your rights and choices
You can ask us to:
- tell you what information we hold about you and give you a copy;
- correct it;
- delete it (we may keep records the law requires, as Section 6 explains);
- stop using it for something you consented to, such as the leaderboard or Discord link.
You can do much of this yourself on the website: edit or clear your profile, leave the leaderboard, unlink Discord, and delete desk entries. For anything else, email support@breakoutroomtrading.com from any address and include your Whop username. We may ask you to confirm the request while signed in so we know it is really you. We will reply within 30 days, and we will not treat you differently for using your rights. If we refuse a request, we will explain why, and you can ask us to reconsider by replying to that email.
If you are in the EEA, the UK or Switzerland, you also have rights to data portability and to object, and you can complain to your local data protection authority.
9. Cookies and tracking
We use one sign-in cookie and a few settings stored in your browser, and no tracking. The Cookie Policy lists them.
Do Not Track and Global Privacy Control. We do not track you across other websites or allow third parties to do so on ours. Because of that, we treat every visitor as if a Do Not Track or Global Privacy Control signal were on.
10. California residents
This policy lists the personal information we collect (Sections 2 and 6), its sources and purposes (Sections 2 and 3), and who receives it (Section 5). We do not sell or share personal information as California law defines those terms, and we do not disclose it to third parties for their own direct marketing. You may request the information described in Section 8, and you may use an authorised agent to make a request.
11. Children
The Service is only for adults 18 and over. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, email support@breakoutroomtrading.com and we will delete it.
12. Where your information is processed
We are based in the United States, and the website is hosted in the United States. If you use the Service from outside the U.S., your information will be transferred to and processed in the U.S., where data protection laws may differ from yours. We rely on our contract with you, and our providers' standard safeguards, for these transfers.
13. Changes to this policy
We will post any update here with a new effective date. If we make a material change, such as collecting a new kind of information or using it for a new purpose, we will tell you before it applies, by email through Whop, in Discord or on the website.
14. Identity verification for Autopilot
Before anyone can buy Autopilot, they verify their identity with Stripe Identity and sign our licence agreement. This protects our software from being shared, resold or copied. Verification happens only if you choose to apply and tick the consent box.
- What Stripe collects: photos of your government-issued ID and a live selfie. To check that you are the person on the ID, Stripe compares your selfie with your ID photo using facial geometry, which some laws (such as the Illinois Biometric Information Privacy Act) treat as biometric information.
- What we receive: only the result and Stripe's session ID. We do not receive or store your ID images, ID number, selfie or any biometric data. Our team can view the verification in our Stripe account when reviewing an application.
- Retention: Stripe keeps verification data under its own policy and our account settings, and we ask Stripe to delete it once it is no longer needed for the purpose above, and in any case within 3 years of your last interaction with us, unless the law requires longer. We keep the verification result and agreement record for the length of your access plus 6 years.
- No sale: we never sell, lease, trade or otherwise profit from your identity or biometric data, and we disclose verification results only as this policy describes or the law requires.
